Why there is no simple answer
Search for "recurring cleaning cost" and you will find calculators promising a per-square-foot rate. For commercial cleaning contracts, those numbers are close to useless. A 5,000 sq ft dental office and a 5,000 sq ft open-plan insurance agency cost different amounts to clean — different chemicals, different protocols, different labor time per restroom, different insurance exposure. A rate built to cover the worst case for one type of facility overcharges the other.
What follows is not a price list. It is an explanation of the variables that actually move the number, so that when you get a quote, you understand what you are paying for and can sanity-check it against your own facility.
Square footage is the starting point, not the answer
Square footage matters, but layout matters more. An open-plan 8,000 sq ft office with one large floor plate cleans faster than an 8,000 sq ft suite broken into fifteen private offices, three conference rooms, and four corridors — even though the total area is identical. Crews spend time moving between rooms, working around furniture, and covering edges and corners that a large open floor does not have. When you request a quote, expect the walkthrough to focus as much on layout as on total square footage.
Restroom count drives labor cost more than almost anything else
Restrooms are the single highest-labor-cost area per square foot in a commercial building. Fixtures, mirrors, floors, and restocking take a fixed amount of time regardless of how small the restroom is. A 3,000 sq ft suite with one restroom and a 3,000 sq ft suite with four restrooms are not close in price, even though the floor area is the same. If your facility has more restrooms than typical for its size — a medical suite with a restroom per exam room, for example — expect that to show up clearly in the quote.
Frequency changes the math in a specific way
Nightly contracts (five nights a week) have the highest total monthly cost of the standard frequencies, but often the lowest per-visit cost, because the crew is doing light maintenance rather than catching up on a week's accumulation. Weekly contracts sit in the middle. Bi-weekly contracts frequently have the highest per-visit rate, because two weeks of accumulation takes meaningfully longer to address than one week's worth — even though the facility looks similar in between visits. If your facility is currently on a bi-weekly schedule and considering moving to weekly, ask your provider to break out the per-visit versus monthly difference; it is often smaller than it first appears.
Scope and compliance requirements are individually priced
Medical, dental, and other compliance-sensitive facilities often require specific disinfectant products, documented protocols, or facility-approved chemicals rather than standard commercial cleaning supplies. This adds both material and time cost, and it should be itemized separately in your quote rather than folded into a generic "medical cleaning" upcharge you cannot evaluate. Distribution and warehouse floors sometimes require ride-on scrubbing equipment for large open floor areas, which is a different cost driver than a standard office floor.
What a legitimate quote should include
A written quote for a recurring cleaning contract should include the full scope of work broken into specific tasks, the proposed frequency with the reasoning behind it, the assigned crew designation, and a fixed monthly price with no vague "and other duties as needed" language. If a quote arrives without a walkthrough having taken place, treat it skeptically — a provider that will quote sight-unseen is either padding the price to cover unknowns or planning to renegotiate once they see the space.
